Job Title: Food and Beverage Office Manager

Salary: $60,000

Status: Full Time

Shifts: Days

The Food & Beverage Office Manager will provide support to the Food & Beverage (F&B) department and management. The position manages the coordination of the office including but not limited to purchasing, maintain monthly financial reports, records control, departmental communication, scheduling meetings and maintaining all team member files and updating files as necessary. Must excel working in a high pace environment. Excellent Computer skills including advanced Excel knowledge are required. Maintains a high level of confidentiality at all times.

  • Maintains department expense and budget reports
  • Administers and schedules reminders of events, meetings with dates and times
  • Keeps necessary contact and vendor information for the F&B Managers
  • Maintains a positive and pleasant demeanor at all times
  • Maintains a professional appearance and clean and orderly work area at all times
  • Meets and greets guests, vendors and Team Members in a professional and timely fashio
  • Manage the Food and Beverage Office
  • Must be able to assist Team Members with any questions and/or concerns
  • Coordinate meetings for F&B
  • Answer guest questions regarding restaurant operations
  • Book restaurant reservations for guests
  • Assist in creating pre-set menus for parties interested in dining in our fine dining restaurants
  • Able to assist with creating all F&B FOH & BOH PAF’s to include hires, transfers, dual rates and terminations
  • Payroll adjustments and record keeping for Temps & Team Members in WFM
  • SW purchasing for non-inventory items
  • Pay check distribution
  • Reply to e-mail regarding guest comments, concerns or complaints
  • Distribute any coupons, cashier information and financial paperwork to the appropriate outlets
  • Must be aware of any in-house groups for department inquiries
  • Record keeping of call-ins and terminations
  • Record keeping of all Personal Action Forms, Vacation Requests and FMLA/LOA
  • New hire forms PAF’s proper completion and submissions
  • Coordinate appropriate Network Access to appropriate Managers and Supervisors
  • Ensure temperature logs are being done and file them
  • Conduct all mail runs for the F&B Department
  • Maintain and order all office supplies
  • Responsible for maintaining Food and Beverage office clean and free of clutter
  • Ensure the CTUIT reports that are commonly used are maintained and all information is accurately pulled from Micros
  • Complete the Overtime Labor report, work with both FOH & BOH and discuss concerns with appropriate management team
  • Assist in the preparation of the annual F&B budgets for the Food and Beverage Department
  • Prepare holiday recaps/comparisons, including revenues, covers, & special offerings able to work holidays and special events
  • Update Stratton Warren by communicating with the BOH Chefs for all new menu items or revisions to existing recipes that must be accomplished
  • Run, prepare and distribute Cognos variance reports for all F&B outlets
  • Assist in the preparation of the Cognos Food Summary report
  • Prepare monthly financial reports from Cognos. In addition, combine reports received from Finance for the complete monthly financial package that must be distributed to Management
  • Assist the Food and Beverage Management team in various functions
  • Other duties as assigned


  • Stratton Warren knowledge and experience preferred
  • Advanced knowledge of Word, Excel, Outlook with excellent working knowledge of the Internet
  • Excellent communication skills, both written and verbal
  • Must take direction well, willing to learn
  • Ability to work well with all levels of the Team in collaborative manner
  • Adaptability; expertise at managing competing demands, multitasking and prioritizing; comfortable managing frequent change, delays and unexpected events
  • Ability to work independently
  • Advanced knowledge of Word, Excel, Outlook with excellent working knowledge of the Internet
  • Strong organizational skills; ability to prioritize and plan work activities and use time efficiently
  • Excellent phone etiquette and guest service skills
  • Ability to anticipate and proactively address situations in order to avoid problems; address and resolve problems efficiently and professionally
